Description:
 Administrative assistant duties and responsibilities include providing administrative support to ensure efficient day-to-day operations of the office. You will support managers and employees through a variety of tasks related to organization and communication. The admin job scope includes communicating via phone and email ensuring that all administrative assistant duties are completed accurately and delivered with high quality and in a timely manner. 

Responsibilities 

  • Answer and direct phone calls
  • Organize and schedule meetings and appointments 
  • Professionally greet and direct visitors
  • Maintain contact lists, calendars, and spreadsheets 
  • Produce and distribute correspondence memos, letters, faxes and forms 
  • Assist in the preparation of regularly scheduled reports 
  • Develop and maintain a filing system 
  • Maintain project files and documentation 
  • Submit and reconcile expense reports 
  • Manage the day to day office needs while monitoring and securing office supplies and equipment 
  • Provide general administrative and clerical support including mailing, scanning, faxing and copying to management

Requirements 

  • High school diploma or equivalent plus two (2) years of secretarial and/or clerical experience 
  •  High level of integrity and dependability with a sense of urgency 
  •  Be able to prioritize conflicting needs; handle matters expeditiously, proactively, and follows through on projects to successful completion 
  •  Highly resourceful team player with demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment 
  •  Excellent written and verbal communication skills 
  • Proficient computer skills, including Microsoft Word/PowerPoint/Excel/Outlook
