Requirements: With Hotel Relation and Banqueting background
Key Tasks:
• Follow up on hotel contracts & negotiate better offers.
• Look-up cost-effective suppliers.
• Prepare hotel function details and follow up implementations during event.
• Works with internal & external third parties to organize the various components needed to initiate
& run the event.
• Coordinate schedules & activities, placing orders for supplies & services, and tracking progress
& results.
• Database coordination, collection, filtering and screening.
• Participant’s data management (pre-established CRM tracking system)
• Maintain bookings & participants rosters.
• Make travel & meeting arrangements.
• Financial tracking workbook.
• Dispatch registration confirmation letters, invoices & receipts.
• Assist in the marketing plan with timeline and tools to be produced & used.
• Conduct cold Direct Sales & Tele Sales Operations (when needed)
• Attend meetings with potential customers (when needed)
• Coordinate the marketing campaigns (faxes,
mailing, eMarketing etc)
During Events:
• Coordinate with Venue’s Management.
• Follow up on guests relations (transport & accommodation)
• Plan & coordinate the Exhibition stands to ensure flexibility & efficiency in space distribution & execution.
• Logistical daily follow up onsite.(Testing all equipment, revising security issues, updating information, checking all signage,……)
• Follow up on guests’ arrival and departure time and coordinate with Hotel
• Follow up on the guests’ airport pick-up / drop-off.
• Handle & resolve guests’ complaints.
• Keep track of Hotel related financial.
• Assist at the counter during the registration process & usher when needed.
